Chat Users & Chat Access

Overview
RedFlag’s Chats section allows authorized users to access, manage, and respond to incoming chat messages via text and email. Chat users can also manage assigned Chat Inboxes and track ongoing conversations.
User Roles with Chat Access
Chat Agent Only Users
- Role Description: Chat Agents have exclusive access to the Chats section.
- These users cannot access any other areas of the RedFlag platform.
- Chat Agent Only users can be:
- Restricted to specific Chat Inboxes.
- Granted access to all inboxes for their location.
Chat Enabled Users (Other Roles)
- Role Description: Super Admins, Admins, and Editors, can also be enabled for Chats.
- Account Admins are chat-enabled by default and have access to:
- All chat inboxes for all locations under the parent account.
- Super Admins, Admins, and Editors can be:
- Restricted to specific Chat Inboxes.
- Granted access to all inboxes for their assigned locations.
Adding a New Chat User
To add a new user with chat access:
- Navigate to Users > Add New User.
- Enter the user's First Name, Last Name, and Email Address.
- Select the appropriate Role Type (Chat Agent, Admin, Editor, etc.).
- Select the Location(s) the user needs access to.
- Check the box for "Chat" next to the location name.
- Select the Chat Inboxes the user should have access to:
- Select individual inboxes.
- Or Select All to grant access to all current and future inboxes for that location.
- Click Save at the bottom of the page.
- Once saved, an activation email will be sent to the user.
Enabling Chat Access for Existing Users
To add Chat access to an existing user:
- Navigate to Users.
- Click on the user’s name to open their profile.
- Check the box for "Chat" next to the location name.
- Select the Chat Inboxes the user should have access to:
- Select individual inboxes.
- Or Select All to grant access to all current and future inboxes for that location.
- Click Save at the bottom of the page.
- The next time the user logs into RedFlag, they will see the Chats section in the navigation panel.
Editing Chat User Access
To update or change a user’s chat access:
- Navigate to Users.
- Click on the user’s name to open their profile.
- Make any necessary changes:
- Update the chat inbox selections for one or more locations.
- Enable or disable Chat access for specific locations.
- Click Save at the bottom of the page.
