Sender Information

๐Ÿ“ To access, go to: More > Setup > Sender Information

Overview

Sender Information is where you manage the email addresses, text numbers, and sender templates used to deliver RedFlag messages. It contains two tabs โ€” Email Domains and Text Numbers โ€” and a Sender Templates section. Only the tabs for channels enabled for your location will be shown.

Email Domains

Overview

The Email Domains tab displays all email addresses configured for your location and their authentication status. Locations can have both the RedFlag default email and a custom email domain active at the same time.

Email Status Types

Status

Description

Pre-Authenticated

The RedFlag default email (-reply@redflaghub.com). Ready to use immediately โ€” no setup required.

Authenticated

A custom email domain that has been verified and DNS records confirmed.

Needs Authentication

A custom email address that has been added but not yet authenticated. RedFlag cannot send from this address until authentication is complete.

Grid Columns

The Email Domains grid displays the following columns:

Type โ€” Indicates whether the email is the RF default or a custom address

From Email Name โ€” The display name recipients see in their inbox

From Email โ€” The full email address used to send messages

Status โ€” Authentication status (Pre-Authenticated, Authenticated, or Needs Authentication)

Sender Template โ€” The sender template this email is assigned to, or Unassigned if not yet assigned

๐Ÿ›ก๏ธ Note: Email branding (logo, colors, fonts) is managed through Sender Templates, not the individual email row. See the Sender Templates article for details.

Add a Custom Email

  1. Click Add Another Email
  2. Enter an email address under your domain (the inbox must be able to receive a verification code)
  3. Enter the verification code sent to that address
  4. Once the domain is verified, set the email prefix and Sender Name
  5. Click Save

๐Ÿ›ก๏ธ Note: Multiple email addresses can be added under the same custom domain.

Authenticate a Custom Email Domain

RedFlag cannot send from a custom email address until the domain is authenticated. Authentication requires adding DNS records (SPF, DKIM, DMARC) to your domain registrar.

  1. Click Needs Authentication next to the email address
  2. Copy the DNS records provided
  3. Add the records to your domain registrar (GoDaddy, Namecheap, etc.)
  4. Return to RedFlag and toggle "I have added these records" to Yes
  5. Click Verify

๐Ÿ›ก๏ธ Note: DNS changes can take time to propagate. If verification fails, wait a few minutes and try again.

Text Numbers

Overview

The Text Numbers tab displays the text (SMS) numbers configured for your location, their brand registration status, and which sender template each number is assigned to.

Brand Registration Status

Brand registration status appears at the top of the tab and applies to all numbers at your location.

Status

What You'll See

Not registered

A Register Brand button that opens the brand registration app in a new window, plus a prompt to refresh the page once registration is complete.

Pending Acceptance

A Pending Acceptance status badge.

Registered

A Registered status badge.

๐Ÿ›ก๏ธ Note: Brand registration (TCR / 10DLC) is required to send text messages in the US. See the TCR Brand Registration article for more information.

Grid Columns

  • Number โ€” The text number assigned to your location
  • Status โ€” Reflects brand registration state (Pending Acceptance or Registered) for the number
  • Sender Template โ€” The sender template this number is assigned to, or Unassigned

Add a Text Number

Once brand registration is complete and your location is under its number limit, an Add Another Number button appears. Click it to add an additional text number.

Request More Numbers

If your location has reached its current number limit but has fewer than 5 total numbers, the button changes to Request More Numbers.

  1. Click Request More Numbers
  2. In the modal, enter how many additional numbers you'd like
  3. Click Submit

A request is sent to your customer success manager for review.

๐Ÿ›ก๏ธ Note: If your location already has 5 text numbers (the maximum), the button is disabled and displays the tooltip: "At maximum limit."

Sender Templates

Overview

Sender Templates let you group a specific email address, text number, and voice call number together under a named template. When sending a message, users can select which sender template to use โ€” giving you control over which sending identity is used for different types of communications (e.g., Emergency, Informational).

Sender Template Cards

Each sender template displays as a card with the following fields:

  • Sender Template Name
  • Email โ€” The email address assigned to this template
  • Text Number โ€” The text number assigned to this template
  • Voice Call Number โ€” The voice number assigned to this template

The primary template is marked with a filled star icon โ˜…. All other templates show only the kebab (โ‹ฎ) menu.

Field Behavior

Field

Behavior

Email

Read-only if only one email is configured. Becomes a dropdown once a second email is added.

Text Number

Read-only if only one number is configured. If that number has a pending brand registration, a warning icon displays next to it. Becomes a dropdown once a second number is configured.

Voice Call Number

Always read-only. Displays a tooltip: "Voice call number cannot be updated."

๐Ÿ›ก๏ธ Note: A single email address or text number can be assigned to more than one sender template. For example, the same number can be used in both an Emergency template and an Informational template.

Sender Template Menu Actions

Click โ‹ฎ on a sender template to access:

  • Edit Email Branding โ€” Only shown if the email channel is enabled. Opens the email branding page to customize the template's email appearance (logo, colors, fonts). Branding is saved to the sender template rather than the email domain.
  • Make Primary โ€” Sets this template as the location's default. Disabled if only one sender template exists.
  • Delete โ€” Removes the template after confirmation. Disabled if only one sender template exists.

Create a Sender Template

  1. Click Add Sender Template
  2. Enter a Sender Template Name
  3. Select the Email Address
  4. Select the Text Number
  5. Save

Default Template Behavior

New locations: A Default sender template is automatically created with the RF default email pre-populated.

Existing locations: Your existing sender template configuration is preserved.

Selecting a Sender Template When Creating a Message

๐Ÿ“ Applies to locations with more than one sender template configured.

When composing a message or template, you can choose which sender template to use โ€” controlling which email address and text number the message is sent from.

  • If Chats is not enabled: A Select Template dropdown appears above the Message Preparation section, defaulting to your location's primary sender template.
  • If Chats is enabled: The Select Template dropdown appears in the Message Type section, to the right of the Standard radio button.

Changing the selected template updates the Sender Information panel and Message Summary on the right to reflect the template's sending details.

Template Selection Carries Through

The sender template used is recorded when a message is sent and carries through when:

  • The message is copied
  • The template is copied or reused
  • The message appears in the message report
  • The message is saved as a draft or scheduled
