sFTP File Import Data Integration
Overview
The sFTP File Import integration allows RedFlag to automatically sync recipient data from an external system (such as an HRIS or property management platform) using a scheduled data file.
This integration is best suited for:
- Large recipient databases
- Organizations with frequent data changes (hires, terminations, updates)
- Systems that cannot integrate via API
🛡️ Note: sFTP Data Import must be enabled by RedFlag for your account before setup can begin. Contact your onboarding specialist or support representative to enable this feature.
How It Works
- Your system places a data file on the RedFlag sFTP server
- RedFlag securely retrieves and processes the file
- Recipients are:
- Added (new records)
- Updated (existing records)
- Removed (if no longer present in the file)
- A sync report is generated and sent via email
Key Capabilities
Automated Data Sync
- Fully automated file processing
- Supports scheduled imports (daily minimum)
Group Creation
- Automatically create groups based on up to 3 data fields
- Example: Department, Location, Region
- New values automatically generate new groups
Data Validation & Error Handling
- Invalid data is flagged (not rejected entirely)
- Error reports include:
- Original record
- Reason for failure
Data Protection Safeguards
- Delete threshold protection (default: 10%)
- Prevents accidental mass deletion
🛡️ Note: If the delete threshold is exceeded, the file will not process until confirmed.
Reporting & Visibility
After each sync:
- A status report is sent via email
- Error reports are generated if needed
Error reports are available in:
- sFTP server (Errors folder)
- RedFlag platform: More > Integrations > sFTP
🛡️ Note: Only users with approved access (whitelisted IP + credentials) can access files directly on the sFTP server.
Supported Data
RedFlag supports:
- Up to 33 data fields
- Multiple delivery channels:
- SMS (Text)
- Voice
- Some fields can also be used for:
- Dynamic grouping
- Filtering
- Multi-value storage (if enabled)
When to Use sFTP
Use sFTP when:
- Your system does not support API integrations
- You prefer batch file-based updates
